Introduction
The appointed PMC will be responsible for all aspects of event management for both the EWWG and DIWG, with fulltime support from DWYPD, covering (but not limited to).
1.1. Department of Women, Youth and Persons with Disabilities (DWYPD)
1.1.1.Leadership and Coordination
i. Provide overall strategic guidance, official G20 communications, and high-level budget allocations.
ii. Approve themes, venues, agendas, and sponsor partnerships.
iii. Ensure synergy with other departmental workstreams (e.g. security, protocol).
iv. Assign a Logistics Work Stream Leader to collaborate with the PMC daily.
1.1.2.Workplans and Security
i. Draft event workplans (timelines, budgets, task allocations).
ii. Oversee security, occupational health, and safety coordination with relevant authorities.
iii. Provide accommodation for host officials.
1.1.3.Content Team Support
i. Define programme content for both EWWG and DIWG technical/Ministerial meetings.
ii. Identify speakers, roundtables, or panel discussions.
iii. Collaborate with PMC on format/design of relevant presentations, knowledge products, and technical inputs.
1.2. Project Management Company (PMC)
1.2.1.Event Conceptualisation and Project Management
i. Collaborate with DWYPD to develop event themes, agendas, and formats that meet EWWG/DIWG objectives.
ii. Assign a dedicated Project Manager as primary liaison for DWYPD’s Deputy Director-General: Monitoring, Evaluation, Research, and Coordination (DDG MERC)/ Chief Director: Monitoring and Evaluation.
iii. Create detailed event timelines, budgets, resource requirements, and draft workplans.
1.3. Logistics Coordination
1.3.1.Venue Sourcing and Booking
i. Identify inclusive venues with wheelchair access, sign language facilities, and accessible restrooms.
ii. Coordinate on catering, ensuring dietary/cultural requirements.
1.3.2.Delegate Management
i. Provide recommended accommodation lists (delegates must be transferred from Airport to venue/hotel) and manage local/international travel as needed.
ii. Oversee transport routes (executive cars, shuttle busses, airport liaison).
iii. Draft administration notes for delegates.
1.3.3.On-Site Coordination
i. Manage registration, ushers, technical staff, interpretation, and real-time issue resolution.
ii. Communication, Marketing, and Branding
