About the Assignment
UNDP Kenya wishes to engage the services of a Media and Communications firm for 30 days to support media, communication and visibility during the Summit in Nairobi before, during, and after 8th-12th December 2023. Under the general guidance and supervision of the UNDP Kenya communications team, the service provider will be responsible for the following duties:
Pre-Event
Develop and circulate pre-event press release to announce the upcoming Summit and registration.
Promote the Summit registration portal and process lining to key messages of the Summit – use save the date cards and count down cards on social media.
Develop and circulate media advisory to whip up media interest and coverage of the Summit including opening and closing of the summit, anticipated side events and Summit thematic sessions.
Work with partners to identify influencers and develop an Influencer Marketing strategy for the summit, including producing short scripted and unscripted videos from key influencers to promote the summit and registration.
Leverage registration and interest of registered entrepreneurs, innovators, sports personalities, and creatives from across Africa and in Kenya to create welcome content targeted to delegates to the summit, encouraging their participation in the various thematic sessions.
Curation of a Trello Board that allows ease of access to social media content and assets.
Put a spotlight and project UNDP’s support to youth-led initiatives and cross-border initiatives that are youth-led. - Starting two weeks before the Summit every Monday and Friday and throughout the summit.
Develop a media invite list of selected media for coverage. Include social media bloggers and content creators – organise a media sensitisation breakfast roundtable ahead of the summit with key representatives of the organizing partners (GoK, UNDP, YCS secretariat, Global, Regional, National and Local media).
Support the design of social media infographics and posters.
Support the design and printing of the briefing package, logistics note and country master brief.
Media monitoring to gauge interest and coverage.
During the summit
Live social media messaging including quote cards, photos, videos and event livestreaming promotion.
Capture voices of delegates in short videos – vox pops for to be used for continuous engagement covering the various sessions of the summit.
Produce daily highlights reels/photo highlights to sustain interest and call to action for participation in various sessions both online and on the ground.
Enlist digital content creators and bloggers to sustain the hype around the summit – consider paid-for content on key platforms.
Manage media coverage and exclusive interviews.
Management of production of press releases and distribution (opening and closing)
Media monitoring
Photography and Videography: Supporting overall photography of UNDP participation at the Summit.
Uploading edited high-resolution photos on a central google drive folder for social media posting. This will be needed immediately after each event session. Proving captions for photos taken at each event.
Videography: Supporting overall videography of UNDP participation at the Summit. Provide short videos daily with highlights of the day for social media posting. Generate video reel of the key event highlights.
Post-Summit:
Draft and issue a press release on the closing of the Summit, capturing key highlights, resolutions, and outcomes.
Social media messaging on key outcomes of the Summit, including short feedback/key takeaways videos (Vox pops) of delegates.
Consolidate media monitoring reports of the summit coverage, both offline and digital, including social media and present a final media analysis report.
