Under the overall guidance and supervision of the ISIP Project Manager, the Coordination Assistant, in coordination with the ISIP Project Associate will support the conduct of the ISIP Summit. Key functions include: 1. Send, monitor, and track invitation list for the speakers, reactors, and participants invited to the ISIP Summit. This includes: a) Maintain and update an invitation tracker containing information on when invitations are sent, received, followed up, and response; b) Coordinate and send additional information to the list of invitees as necessary, including a logistics note, programme information, administrative, travel and logistical arrangements. c) Collect the necessary information to process travel arrangements for the invited list; d) Provide weekly updates to the ISIP project manager on progress against tasks. 2. Provide administrative support to process administrative and travel documents for the conduct of the Summit. This includes: a) Coordination of travel quotations, travel bookings, and final travel details b) Coordination on transportation and vehicle services c) Preparation of Logistics Note for ISIP Summit participants which includes travel, accommodation, meal and administrative arrangements; d) Preparation of registration kits and materials for the ISIP Summit e) Maintain related files to the ISIP cloud-based storage Provide on the day support for the conduct of the Summit, including but not limited to coordination with participants on airport transfer details, arrival, and registration details. Period of assignment/services 40-person day Proposal should be submitted directly in the portal no later than indicated deadline.
