Overview

OBJECTIVES OF THE ASSIGNMENT

The services of an Operation Support Consultant are required to support the various initiatives on Inclusive Digital Economy for Asia on procurement, finance, HR management, logistics and workshop arrangement as well as the administrative assignments to ensure successful implementation of project activities.

SCOPE OF WORK

1. Procurement support to the project under IDE Asia

 Support procurement of supply and services, reviewing specifications, collecting price offers from international and national suppliers and consolidating selection reports;

 Monitor and manage all contracts with compliance according to PoPP

2. Financial management support to the project under IDE Asia

 Prepare payment package to the Office of Finance and Management Services (OFMS) focal point and monitor payment status until completion of payment.

 Support budget preparation, monitoring and financial reporting exercises;

 Populate budget revision for project activities according to AWP and Year End Closing

 Advise teams on proper budget management and lead on the efforts of timely closing projects

3. Programme management support to the project under IDE Asia

 Support donor/partner agreement update, donor/partner report, quarterly report, tranche request/disbursement and agreement amendment or closure.

 Manage any required Amendment of Donor agreements and advise teams on actions to be taken in Quantum

 Support with updates for programme activities, provision of inputs to various online databases, worksheets, presentations

 Monitor, catalogue, and update regularly the project database and filing;

 Support and maintain good relationship among project team members, partners, stakeholders; and

 Perform other office duties.

4. Event and logistic support to the project under IDE Asia

 Supporting the organization and coordination of workshops, conferences and inter-organization meetings including organizational and logistical support to the national and/or regional events, developing tracking tools for events, prepare budget projections, communication with internal and external clients, prepare invitation letters, facilitate and participate in the events, note taking and drafting the discussions points for comments and finalization.

Duration of assignment: August - January 2025 with possibility of extension

Duty station: Full-time,

Home Based Places of travel: No travel
